A walkthrough for admins on how to setup service shoutouts

What are Service Shoutouts?

Service shoutouts are an exciting way to allow people from outside of your organization without a Motivosity account to send a thank you to users within your company!


How to Set up Service Shoutouts

To get started with service shoutouts, follow these steps below.

Head to ‘Setup’ > ‘Programs’ and you will see Service shoutouts listed.


URL Setup

This is where you can configure individual URLs and QR codes that can be used to send a shoutout/appreciation to individual employees, a specific group, or even a whole team!

Employee URLs

You can first choose to turn on individual Employee URLs that will allow the QR code/URL found on employee profiles to be scannable by anyone outside of your organization.

You can also select an approver for these shoutouts. This will make it so that the selected approver(s) will have the ability to review/edit each shoutout before it is posted to the feed.

Here is an example of where the QR code/URL can be found on the employee profile.

By selecting this QR code, this will pull up a window that looks like the image below. You can download the QR code, or copy a link to their individual service shoutout window. This is a good opportunity to use these links in places like an email signature or on LinkedIn so your employees can start receiving shoutouts from those outside your organization.


Groups

Creating groups is a good way to set up a QR code/URL for a team or department to receive shoutouts. By creating a group, this will generate a QR code/URL that will only display selected users to receive an appreciation rather than using an individual code or link.

Let’s go ahead and configure a group by selecting ‘+ Setup your first group

Next, a modal should open allowing you to fill out the needed fields to create a New Group. Here you will give the group a name, description, and set up any approvers you would like to approve the appreciations/shoutouts that come to individuals/teams within the group.

Once you have filled that out and press ‘Next’ we will need to add a User Group rule.

The following are the different types of user group rules you can select from:

  • User: Only want to add select users? This option allows you to assign one or more users to this specific user group.

  • Team: Wanting a specific team? This rule will apply to a manager and their direct reports.

  • Organization: This will apply to the selected leader and their downstream organization.

  • User group: This will apply to a custom User Group that has already been created.

In this example, we will select ‘Team’ and add a manager ‘April Ludgate’ to include April and all of April's direct reports.

Go ahead and click 'Done' to create and save this rule. Once you are finished, you should then see the created group like the example below.

Now that we have created a custom user group, we can get started with sharing that QR code or URL! Click the QR code icon listed under 'QR Code' which will pull up the below window.

Now that we have set up QR code and URLs, let's see what the service shoutout form will look like.


Form Setup

This is where you can customize the form that people will see when they are submitting a service shoutout. You can upload a logo, add a legal disclaimer, and post an additional message or media after the post is made.

You'll want to start by uploading a logo which is what they'll see at the top of the window as shown in the 'Form Preview'. Then you can edit what you call the customer (which will be displayed in the appreciation on the Home Feed), as well as any legal disclaimer you want them to be shown when sending a service shoutout.

Next, for the Success Page Message, you can create a message with links, or even media/GIFs! They will see this after the post has been submitted.

Now that we have set up the URLs and QR codes as well as the form, you are ready to get started with service shoutouts! Use the toggle in the top right to enable service shoutouts!
