User Groups

You can put your employees into groups and use those groups with various Motivosity programs.

Motivosity uses your org chart to automatically group users into teams and departments. Use custom User Groups to refine how you organize communication, target programs or incentives, and understand your data better. We'll be discussing the functionality of User Groups below.


Create a User Group

To get started with creating a 'User Group' please head to Setup > User Groups and you'll see the page below:

Next, we're going to add a new user group so we'll click 'New User Group'.

The modal below will appear and we'll go over each field below.

After you've chosen your rule and have finished adding your users click 'Save' and you'll find your User Group added.


Group Details

Name - What is the group's name?

Description - What is the group's purpose? For example: Anyone who wants to go camping can be in this group.

Admin Only - Check this if you only want the admin to find this group in filters, insights, and bulk actions like awards and saying thanks. When unchecked a user's profile will show which user groups they are a part of.

Once you've finished entering the group details we'll head to adding users into the group please click 'Next'.


Rule Types

On this page we'll be going over each rule and how they work separately for adding users.

User

Only want select users? This option allows you to assign one or more users to a specific user group:

Team

Wanting a specific team? This rule will apply to a manager and their direct reports.

Organization

This will apply to the selected leader and their downstream organization.

Company

Want your whole company part of a user group? Please select 'Company' and click 'Save'.

Custom

Allows you to use any field associated with a user such as Country, Department, or even one of your custom fields to grant access to a group. Here're a few examples below:

  • Department: department = 'Sales'.

  • Country Code: countryCode = 'USA'

  • Location: location = 'Washington DC'

  • Title: title = 'Deputy Director'

  • Custom Fields: CustomField1 = 'Team'

Furthermore, you can chain together multiple rules using 'and' or 'or'. For example: department = 'Sales' and countryCode = 'USA'.

Using Custom User Groups

With Custom User Groups you'll be able to filter data, as well as customize the way Motivosity works with employees in different groups. Take a look at these ways you can use Custom User Groups to customize your motivosity experience.

Insights

After adding a User Group you'll be able to filter accordingly in select dashboards and reports. We will go through all the dashboards and reports where User Groups are available below.

Awards

You can now limit 'Awards' to certain User Groups! With this feature, you have the power to decide which user groups are eligible for particular recognition or achievement awards.

Recognition Award

Please head to Setup > Awards > Click on an existing recognition award or create a new award. From here, once you've entered your award details and options on the last page of the award modal you'll see 'Award Controls'. In this modal you may click 'Limit to Group' and select the User Group in the example below:

Achievement Award

Please head to Setup > Awards > Click on an existing achievement award or create a new award. From here, once you've entered your award details and options on the last page of the award modal you'll see 'Award Controls'. In this modal you may click 'Limit to Group' and select the User Group in the example below:


Milestones

You can now limit Milestones by User Group! What do we mean by this? Limiting Milestone awards means that you can decide which user groups get specific rewards when they hit milestones. In other words, you can choose to give certain awards only to specific groups of users and not to everyone. Please see below for a step-by-step guide:

Please head to 'Setup' > 'Milestones' under the Programs section on the left-hand side of the Setup page. Once there, please click 'New Milestone Group' in the Milestones tab.

After adding another group we're going to click the 'Gear Icon' populated with the new Milestone Awards box.

Once clicked, you'll have three options: Everyone, Country and Limit to Group. Since we're doing User Groups you're going to select 'Limit to Group' and select the User Group in the dropdown.

The Milestones awards should title the User Group you chose. In this example it shows 'Leslie's Team'. For this Team Group I'd like them to have the same Milestone gift on their birthday. We're going to go ahead and click the + Birthday Award icon to add a birthday award.

From here, you'll be able to select either Motivosity Bucks or a Gift (or both). In this example we'd like to give Motivosity Bucks for Leslie's Team. Select 'Give Motivosity Bucks' and click 'Save'.

After clicking 'Save' you've added a Milestone award for a Custom User Group!


Local Rewards

Please head to 'Setup' > 'Store' > Scroll down to the 'Local Rewards' section. From here, you should see 'Local Rewards'. We're going to click 'Create a local Reward':

Once you've filled out the Item name, who will be the item owner and added a custom image you'll be able to 'Limit to Group'. In here you'll write your redemption instructions and limit to a User Group.

Once you've finished inputting your Local Reward options click 'Save' and you've created a User Group Local Reward!


For a Cause

Please head to 'Setup' > 'Store' > Scroll down to the 'For a Cause' section. From here, you should see 'For a Cause'. We're going to click 'Create a Cause Item':

Once you've filled out the Item name, who will be the item owner and added a custom image you'll be able to 'Limit to Group'. In here you'll write your item instructions and limit to a User Group.

Once you've finished inputting your For a Cause options click 'Save' and you've created a User Group For a Cause item!
