- Preparing for Launch Day
We recommend you bookmark this page until you officially Launch Motivosity with your company!
Before you Start
If an account has been built, you should have gotten an email inviting you to log in. That link expires 24 hours after it is sent, but don't worry! You can always go to app.motivosity.com, put in your email address, then click "Request One Time Code". We'll send you a 6-digit code that will allow you to log in.
Once you log in, in the main Setup page, you will notice that your account status is PAUSED. This is a good thing! DO NOT flip this switch to "Running" until after you are completely ready to launch with your employees. Being Paused is what allows you to upload your employee information and prepare everything to be set the way you want it. The software will NOT send them any emails until you flip this switch to running.
Getting Started
We strongly recommend you follow these next 4 steps in order. Use the video below (with the chapter markers) to help you learn more about each of these crucial steps.

Pro Tip: Early Access
If you want someone to have early access (to log in while Paused), there are two ways to do that. You can either:- Make them an Admin: This will send them a welcome email and allow them to log in early and access the setup pages.
- Grant Early Access: If you go to Setup > Team and click the three dots next to someone's name you'll have the ability to Send Invite. That will send that user a welcome email and allow them to sign in. This is a GREAT option if you want to invite a small group of people to preview the software before your big roll out.
Customizing your Programs
Depending on which add-ons you have purchased, there are some decisions to make in terms of how you want Motivosity to run for your employees. Use these links to help you customize Motivosity to meet your needs:

Branding
After you have followed the steps above, there are some good ways to promote your company's brand. Consider doing the following:
- Add your logo to the top corner of the site: Head to Setup > Account Preferences then scroll down to the bottom of the page to put your own company logo on the header for the website.
- Customize your Motivosity Store: Gift cards are already enabled by default, but you can also add a link to an external swag store, create local items, and even set up a "tip jar" for Charitable Donations in the Setup > Store page.
- Customize Emails from Motivosity: You can add your company logo, slogan, and even the primary color of the emails that go to your employees. In addition to that, you can customize the message of the Welcome Email that will go out to employees when you first launch. Do all of this in the Setup > Email Customizations page.
Integrations
There are three different types of integrations we offer. Use this guide to help you get started, but please feel free to reach out to integrations@motivosity.com with any questions you have.
- HRIS Integrations: Integrating with your HR System will allow you to maintain employee information in your HR system, and that information will update into Motivosity.
- Direct HRIS Integrations:
- Azure AD
- Paychex
- BambooHR
- SFTP Integrations: Many HR Systems (ADP, Paylocity, UKG, and others) will offer SFTP integrations. In general, making these integrations work will involve these steps:
- Contact your HR system account manager and ask if they can integrate with Motivosity through an SFTP integration. For our side this is FREE OF CHARGE, but it's possible they might have a charge, and you'll want to know about that.
- Replicate this report in your HR system. You will need the columns to stay in the same order and have the exact same text in Row 1. You will likely be able to ignore columns L, M, and N as they are for special cases. Name this report "full.csv" for this integration to work.
- Follow these steps to prepare Motivosity for the integration. This will create a username and password that we will use in Step 4.
- Contact us! When you've finished those three steps, email integrations@motivosity.com to let us know so we can give you the other information (host name, port, app ID, app secret, etc.) to finalize the integration.
- SSO Integrations: With a SSO integration your employees will be able to log into Motivosity using the same credentials that they do for your other systems. Choose the system you use below to learn more:
Important SSO Note: There are two different web addresses when considering logging into Motivosity:
- app.motivosity.com
- A Motivosity ADMIN will always be able to log into this page with a password. That way if something breaks with the SSO, they can always get in.
- A NON-ADMIN will be redirected to the SSO after they put in their email address (unless you say otherwise in Setup > Account Preferences > Allow Sign-In With Regular Credentials)
- [company domain].motivosity.com
- ANY user coming here will be redirected to your company's SSO
- Chat Integrations: We can integrate with Slack or Microsoft Teams
- Slack: Create a Motivosity Channel in Slack to see and send appreciations and highlights.
- Teams: For the MS Teams integration, that can happen in two different ways. You can do an "full integration" and/or a "connector"
- A "Connector": You can create a channel in Teams then connect Motivosity to that channel. This will create posts in Teams that from the Motivosity home feed.
- Full Integration: Add a webhook to the top of any channel. This will look like the full Motivosity website, but accessible in Teams.
Preparing for Launch Day
It's a really good idea to prepare your employees for launch day! We have this Shareable Resource Center with Documents, Email Templates, Images and Icons, and Videos and Slide Shows for you to browse as you look for ideas on how to make your launch awesome.
When you're ready to invite all of your employees in, head to Setup and flip this switch from "Paused" to "Running" -- once you do, welcome emails will go out to all of your employees and you're officially up and running!
