Preparing for a 1 on 1 Meeting

Overview


This article will explain in detail on how to prepare for a 1 on 1!



Now that you have your 1 on 1's scheduled with your team, you'll want to start planning those meetings! To prepare for an upcoming 1 on 1, you'll want to do the following: 

  1. Select the direct report you would like to prepare a 1 on 1 for.
  2. Use any of the following sections to prepare for the 1 on 1: 

    History: 

    Here you will be able to select any agenda items from a previous 1 on 1 and add them to the next meeting. To do this you'll want to select the ADD icon next to the agenda item:


    Agenda Items: 

    Think of agenda items as a to-do list for your meeting. They help you prioritize the topics that need attention, set clear objectives, and make the most out of your time together. By having agenda items, you can ensure that nothing important is overlooked and that the discussion remains on track. You can add an agenda item by typing in the box that says, "Add agenda item..."



    Repeating Agenda Items:

    Repeating agenda items require ongoing attention or monitoring, and therefore, it is included as a regular part of the meeting agenda. This is where you will see repeating agenda items from previous 1 on 1s. You can add repeating agenda items by clicking the three bullet points near right-hand side of the Agenda Item and marking it 'Repeating'. Agenda Item Inbox:

    Once you've marked an Agenda Item as 'Repeating' it will show in your next 1 on 1 meeting in the 'Agenda Inbox'. The repeating agenda items are specific to the user who selects that as repeating. When a user selects an agenda items and marks them as repeating, the agenda item with show up in the agenda item inbox of the user who marked it that way.  You'll be able to add any items that were marked for future discussion as well.
    To view the 'Agenda Inbox' click the arrow icon on the right-hand side. You'll be able to add recurring agenda items onto the new 1 on 1 meeting by clicking the '+' icon.


    Future Discussion: 

    Future discussion in 1 on 1's refer to conversations and topics that are planned or anticipated to be addressed in upcoming meetings. These discussions focus on forward-looking aspects, such as upcoming projects, goals, challenges, or growth opportunities. Including future discussions in 1 on 1s helps to align expectations, set priorities, and ensure that important matters are proactively addressed. Please note: Agenda items marked as 'Future Discussion' will appear in your Agenda Inbox for your next 1 on 1.
    Important:

    'Important' refers to the significance or relevance of certain topics, issues, or discussions that should be given priority and attention. It signifies the critical matters that require focus and consideration during the meeting. Identifying and discussing important topics in 1 on 1s is crucial for effective communication, problem-solving, and fostering a productive working relationship.
    Priorities: 

    You can add in a priority item by typing in the box that says, "Add a priority"

    Notes:

    To add a note in this section, go ahead and start typing any notes you want! Once you are finished typing in a note, you'll want to save everything you just prepared for by clicking out of the note to save.


Tips & Tricks: You can add notes attached to specific agenda items by selecting the three bullet points and select the appropriate agenda item number.
