Scheduling a 1 on 1
Here's how you'll want to get started scheduling a new 1 on 1 schedule with any of your direct reports:
- Navigate to the "Manage" tab
- Select "1 on 1"
- Choose any direct report with the schedule icon on their team card
- Use the scheduler to create a repeating schedule for the direct report
- Select "Schedule"
From here, you should see a new calendar icon with the date of the next meeting in the direct report's team card.
Rescheduling a 1 on 1
If a meeting needs to be rescheduled, go ahead and do the following:
- Select the direct report team card that you would like to reschedule
- Select the pencil icon next to the current schedule
- Decide if you would like to change the date of the current meeting, create a new repeating schedule, or delete the current schedule
- If you have chosen to change the date of the current schedule or change the repeating schedule, go ahead and use the scheduler to finish rescheduling the 1 on 1
- Select "Save"
You'll now see the new date of the 1 on 1 in the direct report's team card!
Preparing for a 1 on 1
Now that you have your 1 on 1's scheduled with your team, you'll want to start planning those meetings! To prepare for an upcoming 1 on 1, you'll want to do the following:
- Select the direct report you would like to prepare a 1 on 1 for
- Use any of the following sections to prepare for the 1 on 1:
Previous 1 on 1:
- Here you will be able to select any agenda items from a previous 1 on 1 and add them to the next meeting. To do this you'll want to select the ADD icon next to the agenda item.
Agenda:
Repeating Agenda Items:
- This is where you will see repeating agenda items from previous 1 on 1s
- You can add repeating agenda items to this section by dragging items from the agenda section
Other Agenda Items:
- You can add in an agenda item by typing in the box that says, "Add agenda item..."
Priorities:
- You can add in a priority item by typing in the box that says, "Add a priority"
Notes:
- To add a note in this section, go ahead and start typing any notes you want!
Tips & Tricks:
You can add notes attached to specific agenda items by selecting the <#> button and selecting the appropriate agenda item.
Starting a 1 on 1
To start a 1 on 1, you'll want to do the following:
- On the day of a specific 1 on 1, select the direct report with the "Start" icon
- Once the direct report has been selected, the 1 on 1 has started
- You can now go ahead and navigate through the 1 on 1 as normal and add in agenda item and notes as needed
- To finish the 1 on 1 meeting, you can do one of the following:
- Select "Skip This Meeting" if you would like to skip this meeting and wait for the next recurring meeting
- Select "Save and Resume Later" if you would like to save the current meeting and resume at a later time
- Select "Save and End" if you would like to end the current meeting
Starting a 1 on 1 Early
If you would like to start a 1 on 1 early, you can do the following:
- Select the direct report you would like to start the 1 on 1 with
- Scroll to the bottom of the page
- Select the "Start Early" button
- You can now go ahead and navigate through the 1 on 1 as normal and add in agenda item and notes as needed
- To finish the 1 on 1 meeting, you can do one of the following:
- Select "Skip This Meeting" if you would like to skip this meeting and wait for the next recurring meeting
- Select "Save and Resume Later" if you would like to save the current meeting and resume at a later time
- Select "Save and End" if you would like to end the current meeting
Starting a one-off 1 on 1
If you would like to have a one-off 1 on 1 meeting, go ahead and do the following:
- Select the direct report you would like to start the 1 on 1 with
- Scroll to the bottom of the page
- Select the "Hold an Unscheduled Meeting" button
- Select either "Make up for a missed meeting" or "Talk about something new"
- You can now go ahead and navigate through the 1 on 1 as normal and add in agenda item and notes as needed
- To finish the 1 on 1 meeting, you can do one of the following:
- Select "Abort Meeting" if you would like to abort this meeting without saving
- Select "Save and End" if you would like to end the current meeting
Note:
If you select "Talk about something new" a new 1 on 1 meeting will be generated without any previous or recurring agenda items or notes.
Resuming a 1 on 1
To resume a previous 1 on 1, go ahead and do the following:
- If you selected "Save and Resume Later" on a previous 1 on 1, a "Resume" icon will appear next to that direct report. If you would like to resume that 1 on 1, go ahead and select the direct report.
- Once the direct report is selected, the 1 on 1 has now resumed
- You can now go ahead and navigate through the 1 on 1 as normal and add in agenda item and notes as needed
- To finish the 1 on 1 meeting, you can do one of the following:
- Select "Skip This Meeting" if you would like to skip this meeting and wait for the next recurring meeting
- Select "Save and Resume Later" if you would like to save the current meeting and resume at a later time
- Select "Save and End" if you would like to end the current meeting
Tips & Tricks:
If you need to add a quick note, agenda item, or priority, go ahead and select the BLUE PLUS button on your direct reports profile picture. You'll see a drop-down with "quick-add" options to add any of these items to your next 1 on 1 meeting.
