Understanding Cash

This post will cover topics related to cash and reporting on cash in Motivosity.

Two types of cash

There are two 'buckets' for cash in Motivosity; giving cash and spending cash. The cash giving amount comes from the money the company allocates to each of the employees at the beginning of the month. The cash giving amount appears in the 'You can give' box. The cash receiving, or spending cash appears in the 'You can spend' box.

What numbers really matter?

All of the money in Motivosity does not really exist until someone spends one of their rewards on something. While analysis of cash giving is helpful to understand trends in engagement, analysis of cash spending is more relevant to the business.

Common Questions

How much did our employees spend last month?

To get a quick overview of of this amount, click on the 'Cash Overview' dashboard in the Insight area (here). You will see a panel called 'Cash Received Overview' and a number in there for 'Redeemed'. This is the total amount your employees spent during the specified period. To change the time frame or other filters, click on the little down arrow above the dashboard where it says, 'Showing content for...' and make your selection.

Click on the number and you'll be taken to a report where you can see the details behind that number.

How do I know what tax liability there is?

Since the money doesn't really exist until someone spends it, tax issues only occur when the money has been spent by an employee for the employee's benefit. To get an overview of the different areas where taxation might occur, click on the 'Tax Summary Report' (here). Different companies deal with taxation in different ways. This report just breaks down those categories.

How much unspent money do we have in the system?

Click on the Cash Overview dashboard (here). In the 'Cash Received Overview' panel you'll see a number for 'Current Carried Balance'. This number is always the total unspent money in the system regardless of the date range set in the scope control.

How much cash is being given by employees?

Click on the Cash Overview dashboard (here). In the 'Cash Giving Overview' panel you'll see a number for 'Given'. This number is how much employees gave out during the specified period of time. You can also see a small percentage number in the upper right-hand corner of that panel. This is the percentage of the total cash allocated that was given during the specified time period. Also notice on this dashboard a graphic that breaks down giving by peers and managers. This is a little more detail on the 'Given' number. The 'Peer to Peer' and 'From Managers' add up to the 'Given' number. If you click on the 'Given' number, you'll be taken to a summary report by person that shows how much was allocated, how much was given, and how much was expired.

How much cash did employees get from awards and badges?

Another source of recognition cash is the amount that is associated with various awards. To get the total cash associated with awards, you can click on the Cash Overview dashboard (here) and look at the amount associated with 'Awards' inside the 'Cash Received by Type' panel. To get more detail on this figure, click on the 'Award Summary' report (here) or the 'Award Details' report (here).

A note about appreciation dates

Sometimes the excel junkie will grab a data dump of everything in Motivosity and do their own grouping/totaling by month for appreciation amounts. Sometimes this data doesn't match the data in Motivosity. What's going on?

You'll need to keep in mind that appreciation money comes from a cash allocation per employee and that cash allocation is tied to a month (e.g. here's your $5 for November). When reporting on appreciations within Motivosity, you're typically asking the question, "what did we do with that $5/employee in November?".

The complexity comes about because November doesn't begin and end at the same time for everybody on the planet. In Motivosity, the November cash allocation is actually going to expire around 8am GMT on the first day of the month. The result here is that an appreciation created with a November cash allocation can have an appreciation date stored in the database as late as December, 1 @ 8am.

The reporting within Motivosity takes this into consideration, but the raw data dump does not.

ADFS Configuration Instructions

  • Microsoft Windows server 2008 R2 or higher, running ADFS 2.0 or higher.
  • Your ADFS server must be publicly available (NAT translation or using a federation proxy/Web Application Proxy) for users to authenticate outside of your local network.
  • Instructions are based on ADFS 3.0. For ADFS 2.0 servers, you may notice some slight differences in the configuration.
Configuration Instructions:

Customize your Motivosity domain name (for this example, we’ll use “abc”). Logged in with administrative rights, go to Setup > Preferences and choose your domain name.

Export your ADFS XML federation metadata. This is typically available at the following URL:


In Motivosity, navigate to Setup > Integrations and paste the XML data into the SAML XML text box.

Log into your ADFS server with administrative rights.

Open the ADFS administration console.

Navigate to Trust Relationships > Relying Party Trusts.

Select Add Relying Party Trust.

The Add Relying Party Trust wizard will open. Select Start.

Select the option to Enter Data Manually.

Provide a friendly display name and any notes desired.

Select the ADFS Profile for compatibility with SAML 2.0.

Click Next at the Configure Certificate page (skip this step).

At the Configure URL step, select Enable support for the SAML 2.0 WebSSO protocol and specify the URL https://app.motivosity.com/sso/saml in the Relying party SAML 2.0 SSO service URL field:

At the Configure Identifiers page, enter https://motivosity.com and select “Add”. You will also need to add https://app.motivosity-sandbox.com for Test and https://app.motivosity.com for Production.

At the Configure Multifactor Authentication Now? step, click next (skip this step).

At the Configure Issuance Authorization Rules step, select Permit All Users to access this relying party.

Select the check box to Open the Edit Claim Rules dialog for this relying party trust when the wizard closes.

Under the Issuance Transform Rules tab, click Add Rule…





From there you will want to select 'Transform an Incoming Claim" under Claim rule Template

Next, supply a rule name. For Incoming claim type: - select “UPN”. For Outgoing Claim Type: - select “Name ID”. For Outgoing name ID format: - select “Email”.

Click OK. Click Apply and OK to exit the claim rules configuration.

Navigate to your custom domain (https://abc.motivosity.com). This should redirect you to login on your ADFS page. Upon successful login, you will be redirected to your Motivosity portal.


Top Givers and Top Receivers Dashboard

To see who has given the most appreciations and received the most appreciations go to the 'Top Givers and Receivers' dashboard. This is located in the insight tab at the top of Motivosity. Once there go to the dashboards column on the left side of the page. At the bottom of this column there will be the dashboard called 'Top Givers and Receivers'.

Every user in the system can see this dashboard. It shows the top ten givers and receivers of appreciations. With their names, departments, and how many appreciations they gave or received.

To select a certain time frame click the top right corner that says 'Showing results for'. 

Nominations For Awards

When creating an award on Motivosity you have the option to accept nominations for that award. To review those nominations click on 'Awards' at the top of the page. Once there click on 'Review My Nominations'. This will be located underneath the 'Awards I give' column'.Once you click on that you will see a page that looks something like this:

When reviewing nominations you have three options. You are able to delete a nomination, mark that nomination as read, or give that nomination.

By marking a nomination as read. It helps you to remember later on which nominations you have read and which ones you have not.

If you click the 'give now' button a pop-up will come up. It allows you to review who you are giving the award. Along with the amount they will be given when receiving the award.

Profile Page

The profile page on Motivosity describes each user personally.

By using the profile page. Those in the company will be able to know where you work, access your phone number and email, responsibilities, and know when you were hired and your birthday.

To change or edit this page. Just click your name in the top right corner. After that you can change the profile by either typing in the grey boxes. Or by just clicking the 'change background' blue squares.

The profile picture will automatically resize.


Privacy Policy

Content: any information or data that you upload, submit,

post, create, transmit, store or display in a Motivosity Service.

Information: all of the different forms of data, content, and

information collected by us as described in this Privacy Policy.

Personal Information: information that may be used to readily

identify or contact you as an individual person, such as: name,

address, email address, or phone number. Personal Information does

not include information that has been anonymized such that it does

not allow for the ready identification of specific individuals.

SaaS Products: Motivosity’s OnDemand hosted solution as well as

other Motivosity hosted solutions that display a link to this Privacy

Policy. For the avoidance of doubt, if a Motivosity hosted solution

displays a link to a different privacy policy, then that other privacy

policy shall apply.

Changes to our Privacy Policy

We may change this Privacy Policy from time to time. If we make any

changes, we will notify you by revising the "Last Updated" date at the

top of this Privacy Policy and, in some cases, where appropriate we

may provide you with additional notice (such as adding a statement to

the login screen or sending you an email notification). We encourage

you to review our Privacy Policy whenever you use Motivosity

Service to stay informed about our information practices and the ways

you can help protect your privacy.

If you disagree with any changes to this Privacy Policy, you will need

to stop using Motivosity Service and deactivate your account(s).

Information you provide to us

Account and Profile Information: We collect information about

you and your company as you register for an account, create or

modify your profile, make purchases through, use, access, or interact

with Motivosity Service (including but not limited to when you upload,

download, collaborate on or share Content). Information we collect

includes but is not limited to your name, username, address, email

address, phone number, profile photo, job title, or credit card details.

You may provide this information directly when you enter it in

Motivosity Service, or in some cases another user (such as a system

administrator) creating an account on your behalf may provide it

(most commonly when your company requests that you use our

products). If you are providing information (including Personal

Information) about someone else, you confirm that you have the

authority to act for them and to consent to the collection and use of

their Personal Information as described in this Privacy Policy.

Content: We collect and store Content that you create, input, submit,

post, upload, transmit, store or display in the process of using our

SaaS Products or Website. Such Content includes any Personal

Information or other sensitive information that you choose to include

(“passively-collected Personal Information”).

Other submissions: We collect other data that you submit to our

Website or as you participate in any interactive features of the

Motivosity website or customer support experience.

Information we collect from your use of Motivosity Service

Web Logs: As is true with most websites and services delivered over

the Internet, we gather certain information and store it in log files

when you interact with our Website and SaaS Products. This

information includes internet protocol (IP) addresses as well as

browser type, internet service provider, URLs of referring/exit pages,

operating system, date/time stamp, information you search for, locale

and language preferences, identification numbers associated with

your Devices, your mobile carrier, and system configuration

information. In the case of our SaaS Product, the URLs you accessed

(and therefore included in our log files) include names and tokenized

data relating to information in your organization as necessary for the

SaaS Product to perform the requested operations. Occasionally, we

may connect Personal Information to information gathered in our log

files as necessary to improve Motivosity Service for individual


Analytics Information from Website and SaaS Products: We

and our analytics provider collect and store analytics information

when you use our Website and SaaS Products to help us improve our

products and services. In the Saas Products, this analytics information

consists of the feature and function of the Motivosity Service being

used, the username and IP address of the individual who is using the

feature or function (which will include Personal Information if the

Personal Information was incorporated into the username), the sizes

and original filenames of attachments, and additional information

required to detail the operation of the function and which parts of the

Motivosity Service are being affected.

We currently use NewRelic as an analytics provider. To learn more

about the privacy policy of NewRelic, refer to


Analytics Information Derived from Content. Analytics

information also consists of data we collect as a result of running

queries against Content across our user base for the purposes of

generating Usage Data. "Usage Data" is aggregated data about a

group or category of services, features or users that does not contain Personal Information.

Though we may happen upon sensitive or Personal Information as we

compile Usage Data from Content across user instances, this is a

byproduct of our efforts to understand broader patterns and trends. It

is not a concerted effort by us to examine the Content of any particular


Cookies and Other Tracking Technologies: We use various

technologies to collect information, including cookies that we save to

your computer or mobile device. Cookies are small data files stored on

your hard drive or in device memory. We use cookies to improve and

customize the Motivosity Service and your experience; to allow you to

access and use the Website or SaaS Products without re-entering your

username or password; and to count visits and understand which

areas and features of the Website and SaaS Products are most

popular. You can instruct your browser, by changing its options, to

stop accepting cookies or to prompt you before accepting a cookie

from websites you visit. If you do not accept cookies, however, you

may not be able to use all aspects of our Website or SaaS Products.

How we use Information we collect General Uses. We use the information we collect about you

(including Personal Information to the extent applicable) for a variety

of purposes, including to:

• Provide, operate, maintain, improve, and promote Motivosity Service;

• Enable you to access and use Motivosity Service, including uploading,

downloading, collaborating on and sharing Content;

• Process and complete transactions, and send you related information,

including purchase confirmations and invoices;

• Communicate with you, including responding to your comments,

questions, and requests; providing customer service and support;

providing you with information about services, features, surveys,

newsletters, offers, promotions, contests and events; providing other

news or information about us and our select partners; and sending

you technical notices, updates, security alerts, and support and

administrative messages. Generally, you have the ability to opt out of

receiving any promotional communications as described below under

“Your Choices”;

• Monitor and analyze trends, usage, and activities in connection with

Motivosity Service and for marketing or advertising purposes;

• Investigate and prevent fraudulent transactions, unauthorized access

to Motivosity Service, and other illegal activities;

• Personalize Motivosity Service, including by providing content,

features, or advertisements that match your interests and preferences;

• Enable you to communicate, collaborate, and share Content with

users you designate; and

• For other purposes about which we notify you.

Notwithstanding the foregoing, we will not use Personal Information

appearing in our Analytics Logs or Web Logs for any purpose.

Aggregate Information: Motivosity may compile aggregated usage

profiles to help its subscribers better understand best practices

concerning particular activities and their impact on company culture

and employee satisfaction. This aggregated information is based on

general trends across an entire population of companies and is in no

way tied to a specific individual or organization. This compiled

aggregate information may appear in the Motivosity application to

provide guidance to Service Subscribers. It may also appear in sales

and promotional materials detailing the impact the Motivosity Service

can have on companies.

Information sharing and disclosure

We will not share or disclose any of your Personal Information or

Content with third parties except as described in this policy. We do not

sell your Personal Information or Content.

Compliance with Laws and Law Enforcement Requests;

Protection of Our Rights: We will not disclose your Information

(including your Personal Information) to any third party without your consent.

Business Transfers: We may share or transfer your information

(including your Personal Information) in connection with, or during

negotiations of, any merger, sale of company assets, financing, or

acquisition of all or a portion of our business to another company.

Aggregated or Anonymized Data: We may share aggregated or anonymized information as described above.

With Your Consent. We will share your personal information with

third parties when we have your consent to do so.

Information we do not share

We do not share Personal Information about you with third parties for

their marketing purposes (including direct marketing purposes)

without your permission.

Org Planner

Under the 'Insight' tab at the top of the home page. There is a column on the left side of the page labeled 'Organization.' Click on 'Org Planner'.

The Org Planner will make things a lot easier for you. You can use the planner to make plans for the future of your company. Just start by clicking +New Chart in the top right corner.

A couple things you can do with the Org Planner:

1- If you are having some employees move departments. You can do that by dragging their picture into that new department.

2- You can add a new department of jobs that you want to add. By just clicking the box on the right side with the multiple people in it. Just name the new department, add the number of people you want to be there to be, click new, and finally just click save.

3- Add in new employees by just clicking the box on the left side. add in there name, department, title, and finish off by clicking new and save. 4- Change the colors of the chart. By scrolling toward the bottom of the page. Just click 'edit' then choose the colors you would like.

Notice with the more direct reports you make. It updates the number at the very top admin of how many direct reports they have.

When you are all done with your plan you are able to download it or save it. Both are located at the top of the screen on the right side.

Appreciations for Multiple People

When you give appreciations to multiple people it will give each user one individual. You can go to each individual account and they will have their own appreciations under receiving. But it will only post once in the feed.  This way there won't be 3 of the same appreciation post in the feed for 3 separate people. 

Since it is given to multiple people. If you need to delete it you will need to go to each of their individual profiles to do so.

Restoring a Deleted User

By going to the insight tab and hovering over a user you are able to delete them. However if you did not mean to delete them you can restore them. However you only have 3 days to do so. If you need further help on deleting a user click here.

Restoring Users:

By going to 'Deleted User Report' under the reports column in the insight tab. By clicking on 'Deleted Users report' you can restore a deleted user. Everything for their account will still be there. 

If they had people underneath them in the org chart (Before they were deleted). You will need to go and move those people back underneath them.

Company Branded Goods

Motivosity does Company Branded Goods through a company called Namify. To add some company branded goods to your store follow these steps.

  1. Create a Namify account for your company. To do this email kevin@namify.com. Here is a screenshot of what to say. Insert your company name where it says Pawnee City.
  2. Decide from thousands of items which ones will appear on your Store.
  3. Employees can shop directly from the store and use their motivosity dollars toward company branded goods.

To enable company branded goods you must go to setup. Then click on number 2 store. If you scroll down you we see a section that says 'Company Branded Goods'. Click on 'Enable Company Branded Goods'. There you can type in your information for your Namify account.
